As you are aware, the Chancellor announced that the 16 hours designated for the Governor’s holiday can be taken by employees between Monday November 25 and Friday January 3. The campus will also close at 2:00 on New Year’s Eve. These holidays are in addition to the already scheduled holiday days that can be found on the Boulder Holiday Schedule. Below are guidelines and leave reporting requirements for these additional holiday hours:

  • Employees will receive 16 hours of holiday pay, prorated for part time and/or any leave without pay in the month.
  • Employees already on approved annual, sick or other type of paid leave may use the holiday pay on those days.
  • The additional holiday hours should only be recorded in PeopleSoft HCM / My.Leave for overtime-eligible employees.  This entry should be recorded as “Administrative Leave” for the day selected with the note “Chancellor’s Holiday” in the description field.

  1. Why are we receiving additional holiday leave?
    1. for all state employees including the day after Thanksgiving (Nov. 29) and Christmas Eve (Dec. 24). In addition, Governor Polis decided to close state agencies at 2 p.m. on New Year’s Eve (Dec. 31). Because Boulder campus faculty and staff already receive the day after Thanksgiving and Christmas Eve as holiday days,  the Chancellor granted floating holidays equivalent to 16 hours (pro-rated for part time) for our employees. In addition, Boulder will also close at 2 p.m. on New Year’s Eve.
  2. If an employee is not scheduled to work on New Year’s Eve (Dec. 31) do they receive 3 hours of administrative leave?
    1. Yes. The employee should work with their supervisor to determine when they would like to take the 3 hours of leave.
  3. Can an employee take vacation on New Year’s Eve (Dec. 31)?
    1. Yes. The employee would subtract the 3 hours of additional holiday time from the vacation leave they are taking. For example, an employee taking 8 hours of leave that day would take 5 hours of vacation leave and 3 hours of administrative leave.
  4. What if an employee’s shift ends before 2 p.m. on New Year’s Eve (Dec.31)?
    1. The employee will receive 3 hours of administrative leave. They should work with their supervisor to determine when they would like to take the leave.
  5. What if an employee is essential services and must work on New Year’s Eve (Dec. 31)
    1. The employee will receive 3 hours of administrative leave. They should work with their supervisor to determine when they would like to take the leave.
  6. How should employees track the additional holiday leave they are taking?
    1. All employees should work with their supervisor on when they intend to take leave.
      1. If an employee is eligible for overtime, they should record the hours as administrative leave on their timesheet.
      2. If an employee is not eligible for overtime, they are not required to enter administrative leave on their timesheet, and should work with their supervisor to coordinate and account for this additional holiday time off.
