What’s new with the property disposal form?
Starting April 7, 2025, the AssetWorks ReCoup system will streamline the property surplus, transfer and disposal process.
When creating a new transfer in the ReCoup system, the method of disposition is a required field that is limited to one method. That field requires a note to explain the action being taken with the asset.
Things to be mindful of:
- If there is more than one method of disposition for an asset, please create separate asset transfers for each method.
- To explain the action taken for the method of disposition, guidance for the note field is as follows:
- Abandon in Place: Why are we abandoning it?
- Cannibalization: Write “N/A”
- Donate: Where are the items being donated?
- Property Service Pickup: Write “N/A”
- Return to Manufacturer: Manufacturer’s name
- Return to Sponsor: Sponsor’s name
- Stolen: Police report number
- Trade-in: PO # for the new purchase
- Transfer to Outside Organization: Name of the organization the items are being transferred to
- Only departmental personnel designated as the Department Property Manager will be able to submit transfers for approval in the ReCoup system. Other departmental personnel can enter transfer details.
This new electronic asset transfer process in the ReCoup system replaces the requirement of submitting a property disposal form to dispose of assets.
